Key Steps to a Landscaping RFP
Confirm the sites you are responsible for and identify where you may have CAM responsibility. Knowing which sites you are responsible for and the property boundaries for service are critical to measuring the overall cost of the program.
Ensure your scope defines items such as in-scope versus out-of-scope services, frequencies, SLA’s, and validation requirements.
Collect data such as estimated square footages, service frequencies, and per service costs. This information will become extremely useful when vetting your supplier proposals.
Clearly defining expectations for validation for your providers is essential. Tools that use geofenced technology are the most popular in the industry today.
Understanding your providers capabilities with a local presence in your markets. Ask questions regarding how frequently your sites will be visited and how they address and level set out of scope proposals.
When reviewing pricing, make sure you are comparing apples to apples. If there are large price discrepancies on individual sites, it is likely someone has over or underestimated the size of the property
Ask questions regarding rollout timelines, processes and reporting. Understanding how potential partners will implement and potential awards sets both parties up for success moving forward.
